Official Membership Terms & Conditions
Welcome to the Colchester Malayalee Community (CMC) website portal. By applying for membership and checking the acceptance box, you officially agree to follow and abide by the community guidelines, rules, and regulations detailed below. Please read this entire document carefully before completing your online application.
1. Membership Eligibility and Information Accuracy
Who Can Join: Membership is primarily open to individuals and families of Malayalee heritage, or anyone who has a genuine interest in Kerala culture, traditions, and language, and who currently resides in Colchester or its surrounding areas.
Providing True Information: When you fill out this digital membership form, you promise that all the details you provide (such as your name, contact information, and address) are true, accurate, and complete. If your details change in the future (for example, if you move to a new house or change your phone number), you agree to notify the committee so your records stay updated.
2. Detailed Structure of Membership Types and Review Policies
To keep our community thriving, transparent, and fair, the CMC operates on two distinct levels of membership. These levels depend directly on how active and involved a member is within the community.
A. General Membership (Annual Review)
What it is: This is the standard membership level for anyone joining the community.
No Annual Renewal Required: As a General Member, you do not need to manually resubmit a renewal form online every year.
The Committee Review: To keep our digital records accurate, the existing executive committee will review the status and availability of each individual over a one-year period. Based on this review—such as verifying if a member has moved out of the area or is no longer reachable—the committee will decide whether to retain the individual as a member or remove them from the roster.
B. Permanent Membership (3-Year Rotation Policy)
What it is: This is a tier of membership reserved for individuals who show exceptional, long-term dedication, outstanding voluntary support, and consistent participation in the community.
How to Become a Permanent Member (The Elevation Process):
Observation Period: The current executive committee will carefully observe and track the engagement and helpfulness of General Members over a period of time, usually lasting one full year.
The Criteria: The committee looks for members who do not just attend events, but who actively step forward to volunteer, help organize activities, and demonstrate a strong passion for serving the Colchester Malayalee community.
The Committee Proposal: Based on these observations, the committee will compile a formal list of names of those exemplary General Members who deserve to be elevated. The committee will present this list to the General Body (the collective assembly of the community).
The Final Verdict: The final power to grant Permanent Membership rests solely with the General Body. If the General Body approves the list, those selected General Members officially become Permanent Members.
How to Keep Permanent Membership (The 3-Year Rotational Policy):
Permanent Membership is not automatically guaranteed for life; it is based on a strict three-year rotation cycle.
To maintain this status, a Permanent Member must remain actively involved and continue supporting community events and volunteer projects.
The Inactivity Rule: If a Permanent Member becomes completely inactive, ceases to participate, or fails to engage with the community for a continuous period of three consecutive years, their status will be reviewed. As part of the rotational guidelines, they will be removed from the Permanent Membership roster and returned to General Membership status.
3. Community Code of Conduct
Every member of the CMC is expected to help maintain a peaceful, welcoming, and family-friendly environment. By joining, you agree to:
Respect and Kindness: Treat all fellow members, committee representatives, and guests with absolute respect, politeness, and dignity, both in person during events and across any digital communication channels or website features.
Zero Tolerance for Misbehavior: Never engage in, post, or spread any remarks or materials that are offensive, defamatory, bullying, discriminatory, or unlawful.
Privacy of Others: Respect the privacy of your fellow community members. You must never share, distribute, or expose another member's personal contact details, address, or private information without getting their direct and explicit permission first.
4. Data Protection, Privacy, and GDPR Compliance
We value your privacy and are fully committed to protecting your personal information in line with standard data protection regulations.
How We Use Your Data: The personal information you share on this form will be accessed and used strictly by the committee for official community purposes. This includes administrative management, organizing festivals and events, verifying membership status, and sending out official community announcements or newsletters.
No Third-Party Sharing: The CMC will never sell, rent, trade, or share your personal data with external businesses or third parties for marketing or commercial purposes.
Your Rights as a Data Owner: You have full control over your information. At any point, you have the right to contact the committee to view the data we hold about you, request corrections to errors, or ask for your personal information to be completely deleted from our database.
5. Suspension and Termination of Membership
Upholding Standards: To maintain a safe and welcoming environment for everyone, actions may be taken if a member severely violates the Code of Conduct or engages in behaviors that harm the reputation of the Colchester Malayalee Community.
Division of Power: * The Committee's Power: The existing executive committee holds the authority to suspend a member's status temporarily if an urgent issue or violation occurs.
The General Body's Power: The executive committee cannot permanently terminate a membership on its own. The final decision to completely terminate a person's membership rests solely with the General Body after a formal review of the situation.
